Most of us are aware of social networking sites such as Facebook, MySpace and the rest, but did you know that there are sites for online networking for businesses too? Are you active on sites such as LinkedIn and Ecademy?

When you are in the setting up stages of your business, don’t forget to set everything up as though you were a large company. For example, set up various email address for different uses and don’t have all email coming to one address. You can have ‘yourname’, ‘enquiries’, ‘customer service’, ‘quotations’, etc. In the short term you can collect them all by diverting the emails to one central address, but later on when you want to set up an auto responder for a particular query, or send the handling of certain enquiries to your VA or employee, you will have already segregated the emails.

Use Commute Time to Write A Newsletter, Blog or Brainstorm 0

Do you find that when you have a little ‘head space’ whilst driving or traveling on trains or planes you suddenly feel inspired? The idea for that article suddenly pops into your head or you feel stimulated enough to put together that email newsletter you’ve been meaning to send out?

Well there’s not much you can do to put pen to paper while you are driving or crammed into the 07:45 to Waterloo, so what can you do?

Most mobile phones these days have a recording facility so why not record what you want to say, just as you would have done years ago into a Dictaphone. You wont even feel like an idiot chatting away to yourself as people will just assume you are on a call on your mobile telephone.

You can then send the recorded file to your virtual assistant who can transcribe it into your article, newsletter or even your next training course or ebook. Imagine how much you could achieve on your next journey.

Use An Effective Diary System 0

Do you ever forget birthdays or anniversaries or leave it far to late to purchase an appropriate gift? Ever miss the school play or sports day because you’ve double booked it with a work event you cant extricate yourself from so late in the day. Do you find yourself dashing from one end of town to the other to get to your next appointment, only to charge back to where you started from to get to the next one?

Do you think you might need to review how you handle your diary?

Do away with multiple calendars and dairies and use one diary for everything including business and personal appointments, birthdays, etc. An electronic diary works best because your virtual assistant can also update it so it is always current. You can access an electronic diary with any computer or if you are out and about using your mobile phone.

Why not give your virtual assistant instructions to alert you of any up coming birthdays or anniversaries so you have plenty of time to find an appropriate gift, or better still, let your virtual assistant research and purchase the perfect gift on your behalf and have it wrapped and delivered for you. Why not ask them to schedule your appointments for you so they can be effectively managed to save you time, stress and travel costs. While they are managing your diary, why not also ask you VA to arrange all the associated travel arrangements and hotel and restaurant bookings?

Now wouldn’t that make you feel a little less stressed and a lot more organised?

Carry A Notebook Everywhere 0

Are you one of those people who wakes in the middle of the night in a cold sweat because you have just remembered something you simply must not forget to do tomorrow? Then when you wake you’ve forgotten it again.

Do you have your best ideas and come up with your best solutions to niggling problems when you have a bit of head space while you are commuting on a train or out for a stroll in the fresh air?

Do you suddenly remember a call you need to make only to forget again the next time you are sat by the telephone?

Get a notebook and carry it everywhere. A small, pocket sized one is all you need. Then when the thought hits you, you can write it down and relax, happy that the moment of enlightenment will not be forgotten. You can then forget about it until you are back at home or in your office where you can add what ever it was to your to-do list.

Organise Your To Do List 0

We all have a To Do list as long as our arm, any many of us have to steel ourselves to look at it as a whole mile long list of what we have to do can seem overwhelming to say the least. Try this practice for a week and see if you find you actually get more done and feel less like your drowning in a whole heap of stuff to do.

At the end of the working day have a good look at your To Do list and rate everything on it between 1 and 4. Only mark items with a 1 if they are those that absolutely must be done within the next 24 hours or the sky will fall down, the seas will boil (you get the picture). Items marked with a 2 are those that absolutely must be done, but not necessarily within the next 24 hours, they could perhaps wait one more day. Items marked with a 3 are those that you could actually delegate to someone else. If you work with My Virtual Assistant that could be us and it could perhaps be tasks like getting your accounts in order, writing that sales letter, setting up or writing articles for your blog or putting together that Customer Relationship Management system. Items marked with a 4 are those which could actually fall off the bottom of the list and no-one would really notice. Cross them out now and let it go, there are only so many hours in the day.

Ok, so now you have a long list with lots of items with rankings of between 1 and 4. Transfer all the items ranked 1 to a new list that we’ll call the ‘NOW List’. Write them down in order of priority with those at the top being the most important. Next transfer all of the items marked 2 to a new list we’ll call the ‘Standby List’. Next make a ‘Delegate List’ and put on it everything marked 3 that you can get someone else to do, then delegate it! Send it to My Virtual Assistant, your secretary or whomever you have to delegate to. All items marked 4 can now be consigned to the bin.

Now tidy your desk and forget it for the evening.

The following morning, when you get to your desk, before you do anything and I mean anything, so that includes before collecting your email, making any calls, opening the post or making your first cup of coffee, do the first three things on your NOW List. No ifs, buts or excuses, just do them. When they are done schedule in the rest of the tasks in the NOW List for the rest of the day. If there is simply too much and you cant see how to get all of the NOW List tasks done in one day, revisit the list. See if some of it can be delegated. If you can’t delegate items on the list can you delegate something else that takes up your valuable time so you can clear some space. For example you can divert your calls to a call handling service, get your emails filtered and replied to by an email service. As more To Do items occur to you throughout the day, add them to you Standby List. If you have time to do them at the end of the day great, if not you can relax in the knowledge that they are written down and will be re-evaluated again at the end of the day.

At the end of the day take your NOW List and Standby List and go through the process again. Transfer immediately any items from your NOW List onto a new NOW List for tomorrow. Then go through your Standby List and rank the items as before. Then add the 1’s to the new NOW List, the 2’s to the new Standby List and the 3’s to a new Delegate List. Simple but very, very effective.

Email Addiction – Are You Guilty? 0

Limit the amount of time you spend checking email and switch off email alerts. If you are constantly checking your inbox or are responding immediately to email alerts you could be wasting hours every week, not to mention finding it very difficult to concentrate. Limit email checking to 2 to 3 times a day and stick to it. Your email will still be answered within a reasonable time but you will be able to concentrate on more involved projects without constant distractions or interruptions.

Alternatively, let us handle and filter your email for you. We can pick up your email on your behalf, filter out the junk and spam, answer requests for information as you instruct us and only forward you the handful of messages you actually need to deal with yourself. How many hours would that free up each week to work on the more important things?

1. Ask telephone callers if you can add them to your newsletter list. If they have enquired about any of your products or services, they are a prospect and won’t mind your keeping in touch in this unobtrusive way.

2. Collect business cards and email each one asking for permission to add them to your newsletter list. Do not add them directly without permission as this will not win you many friends!

3. Host back copies of your newsletter on your web site as an archive. At the foot of each article, include a link to your sign up page with a message to ‘sign up to our newsletter for more articles like these’.

1.Consider a popup window which appears when a visitor leaves your web site. Ask for their email address so you can keep in touch – make sure it links to information telling them about your privacy policy, how to opt out and how often you will contact them.

2. Include a Forward to a Friend link in your newsletters so that your readers can forward an article to a friend that may find it interesting. For this reason, also include a link to your sign up page in each emailed newsletter.

3. Offer email only discounts and tell visitors to your site that you do so. If they are interested in your services, they’ll sign up in the hope of getting a discount.
