Carry A Notebook Everywhere 0

Posted on June 18, 2021 by Justine Curtis - My Virtual Assistant

Are you one of those people who wakes in the middle of the night in a cold sweat because you have just remembered something you simply must not forget to do tomorrow? Then when you wake you’ve forgotten it again.

Do you have your best ideas and come up with your best solutions to niggling problems when you have a bit of head space while you are commuting on a train or out for a stroll in the fresh air?

Do you suddenly remember a call you need to make only to forget again the next time you are sat by the telephone?

Get a notebook and carry it everywhere. A small, pocket sized one is all you need. Then when the thought hits you, you can write it down and relax, happy that the moment of enlightenment will not be forgotten. You can then forget about it until you are back at home or in your office where you can add what ever it was to your to-do list.

Organise Your To Do List 0

Posted on June 11, 2021 by Justine Curtis - My Virtual Assistant

We all have a To Do list as long as our arm, any many of us have to steel ourselves to look at it as a whole mile long list of what we have to do can seem overwhelming to say the least. Try this practice for a week and see if you find you actually get more done and feel less like your drowning in a whole heap of stuff to do.

At the end of the working day have a good look at your To Do list and rate everything on it between 1 and 4. Only mark items with a 1 if they are those that absolutely must be done within the next 24 hours or the sky will fall down, the seas will boil (you get the picture). Items marked with a 2 are those that absolutely must be done, but not necessarily within the next 24 hours, they could perhaps wait one more day. Items marked with a 3 are those that you could actually delegate to someone else. If you work with My Virtual Assistant that could be us and it could perhaps be tasks like getting your accounts in order, writing that sales letter, setting up or writing articles for your blog or putting together that Customer Relationship Management system. Items marked with a 4 are those which could actually fall off the bottom of the list and no-one would really notice. Cross them out now and let it go, there are only so many hours in the day.

Ok, so now you have a long list with lots of items with rankings of between 1 and 4. Transfer all the items ranked 1 to a new list that we’ll call the ‘NOW List’. Write them down in order of priority with those at the top being the most important. Next transfer all of the items marked 2 to a new list we’ll call the ‘Standby List’. Next make a ‘Delegate List’ and put on it everything marked 3 that you can get someone else to do, then delegate it! Send it to My Virtual Assistant, your secretary or whomever you have to delegate to. All items marked 4 can now be consigned to the bin.

Now tidy your desk and forget it for the evening.

The following morning, when you get to your desk, before you do anything and I mean anything, so that includes before collecting your email, making any calls, opening the post or making your first cup of coffee, do the first three things on your NOW List. No ifs, buts or excuses, just do them. When they are done schedule in the rest of the tasks in the NOW List for the rest of the day. If there is simply too much and you cant see how to get all of the NOW List tasks done in one day, revisit the list. See if some of it can be delegated. If you can’t delegate items on the list can you delegate something else that takes up your valuable time so you can clear some space. For example you can divert your calls to a call handling service, get your emails filtered and replied to by an email service. If you have no one to perform these tasks speak to My Virtual Assistant to see how we can help you.

As more To Do items occur to you throughout the day, add them to you Standby List. If you have time to do them at the end of the day great, if not you can relax in the knowledge that they are written down and will be re-evaluated again at the end of the day.

At the end of the day take your NOW List and Standby List and go through the process again. Transfer immediately any items from your NOW List onto a new NOW List for tomorrow. Then go through your Standby List and rank the items as before. Then add the 1’s to the new NOW List, the 2’s to the new Standby List and the 3’s to a new Delegate List. Simple but very, very effective.

I’d love to hear if you find this system useful and end up calmer and more organised as a result. So try it for a week and let me know how you get on.

More Tips for Building a Top Notch Virtual Team 0

Posted on October 27, 2016 by Justine Curtis - My Virtual Assistant

• Be clear and concise in your delegation. Something you will learn from outsourcing your test projects is how to delegate effectively. If you don’t ask for exactly what you want, chances are you won’t get it.

• Good outsourcing companies will have a format for gathering this information, or will ask very specific questions in order to get all the detail they need. However, in the first instance be clear about the result you want to achieve giving as much detail as possible, any direction about how you want that to be achieved and give your project budget or time allowed, and your deadline.

• Manage your virtual team effectively. Once you decided who you want to work with on a regular basis, make sure there is a system in place to effectively manage your team. Staying in regular contact with your virtual team is vital, especially because you’ll rarely, if ever, see each other. It is important not only to be in contact when there’s a new project to pass on, but on a regular basis to keep them up to date with what’s going on in your business. This way they will be aware of upcoming projects and your clearly defined goals for your business so that they can assist you more effectively. Decide on which means of communication work best for you and arrange how often and when you will communicate.

• Don’t forget to show gratitude. If you have found an outsourcing partner that is more interested in getting it right than just getting it done, you’ll want to hang on to them. These people will foresee obstacles and devise solutions before they even occur. When they do have challenges, they present them with potential solutions and a recommendation. When they do go that extra mile, don’t forget to thank them. It’s up to if you want to send flowers, cash bonuses or bottles of champagne, etc. Often a sincere thank you is all the appreciation they need.

One thing to be aware of – outsourcing is addictive. There’s something oddly satisfying about that lovely soothing feeling that comes when everything is just getting done, effectively and efficiently and without any effort from you.

Why Social Media is Important to Your Business 0

Posted on June 25, 2014 by Justine Curtis - My Virtual Assistant

We’ve all heard the phrase social media, but what actually is social media and how can you use it to help your business?

In short, social media is a term that encapsulates a number of online communication platforms which make it easy for people to not only publish their own news and views but also comment on that posted by others.

Why Is Social Media Important?

Social Media has provided everyone with a platform to air their opinions, views and grievances with anyone around the world. People who use Social Media often become highly influential and are seen as experts in their own sphere and can develop large audiences around their area of interest.
Communities of like-minded people are forming around common interests over the Web regardless of where they are based in the world because the regular restrictions of geographical locations do not apply.

Small Business Social Networking 0

Posted on June 20, 2014 by Justine Curtis - My Virtual Assistant

Most of us are aware of social networking sites such as Twitter, Facebook, MySpace and the rest, but did you know that in addition to those that have been traditionally used for social purposes, there are sites for online networking for businesses too? Are you active on sites such as LinkedIn?

When a potential client ‘Googles’ your name, often the results at the top of the page will return profiles from business and social networking web sites as the search engines love their continually updated ‘fresh’ content. So how are your online profiles looking?

If you haven’t got around to setting up your profiles, or have done that but have not used the sites for business networking or really showcasing your area of expertise, help is at hand.

At My Virtual Assistant, we provide a Business Social Networking service that includes the full set up of your profiles showcasing you and your area of expertise on all the major business networking platforms*. We will also research which ‘groups’ on these platforms you should belong to and join them on your behalf. Once set up we can manage the accounts for you, set up your own groups, respond to links requests – and make them for you, answer email, etc.

Whether it’s a meeting, conference or personal party, many find that planning a large event can be a daunting task. Sourcing vendors, screening proposals, and checking references and credentials can be incredibly time-consuming.

Don’t let the planning process outweigh the excitement of your event. Give us some general guidelines like cost, number of guests, and your basic preferences, and we’ll create a short-list of venues and vendors or even make the arrangements for you.

What’s Your News? Getting Your Press Release Out There! 0

Posted on June 13, 2014 by Justine Curtis - My Virtual Assistant

We all love free publicity and nothing will get you more exposure in the media than a well written and syndicated press release. A well-targeted release can showcase your business to your chosen target market and present you as the credible expert in their field.

But what should be in the perfect press release? Who should you send it to and how can you make it interesting enough to get it published?

Press releases need to be relevant and interesting. They need to capture not only the attention of the reader but, if you are looking for inclusion in a printed publication or for your release to be picked up by bloggers and Tweeters, they need to appeal to editors, webmasters and social networking fans.

How is what you have to say relevant to what’s going on in the news today? What angle or spin can you put on your story to make it current and ‘of the moment’?

If you’re at a loss as to where to start, relax, we can do it all for you.

At My Virtual Assistant, we provide a Press Release Creation and Submission service that includes a press release created to promote your business and submitted to online press release web sites.
